DIG document flow: digital business processes for everyone!

While everyone talks about data exchange exclusively via fixed interfaces, DIG with FDI makes the electronic document flow incomparably practical: four communication channels facilitate a sustainable increase in efficiency along the entire purchase-to-pay chain (from order to invoice). This means that every company, regardless of the size of its partners and the format of the incoming documents, can use fully automated document flow!


Fast, flexible, error-free: our document flow solutions

The term "document flow" always refers to the dynamic communication between two customer systems, which, depending on the scope of the process (purchase-to-order or purchase-to-pay), triggers a process in the other system by means of an order, order confirmation, invoice, scheduling agreement or delivery note: For example, an order is followed by an order confirmation - in the best case fully automated without any manual activity. In order to make this possible for both large and small partners, DIG makes data exchange more flexible by using FDI instead of EDI.

More flexibility: FDI creates clear advantages

With four channels in the routing (EDI, web.EDI as well as PDF or XML by mail) DIG enables under the name FDI - flexible data interchange to connect new markets and trading partners quickly and efficiently and thus to achieve positive effects on the entire supply chain. On the buyer side, the fast and error-free processing of data leads to the consistent use of better payment terms through discounts and rebates. Delivery times can also be shortened thanks to the fast information flow and, last but not least, the purely digital document flow helps to reduce CO2 emissions by avoiding paper and printing.

Full automation independent of the input channel

The exchange of receipts or business documents is done via the DIG Portal. The question that participants have to ask is how their documents get there - and how documents addressed to them are transferred into their own system. The fully automated solution is called EDI. But it is not always the most appropriate one - for example, if the business volume of the partners does not justify the effort of a connection. For this reason, DIG additionally provides a web portal (web.EDI) for routing as well as two options per mailbox: one for documents in PDF format and one for standardized XML documents (e.g. ebInterface, ZUGFeRD). DIG Consulting will clarify for you which channel is the most suitable according to your existing requirements. Regardless of which channel is used, the DIG Portal enables a completely automated document processing.

Depending on the specific requirements, companies normally start with one or two channels, additional transmission channels can be set up if required. All common transmission protocols like SOAP Webservice, HTTPS, SFTP, X.400, Peppol, Email, OFTP2 and many more are used. Individual routings are also supported on request.
All connections are encrypted. Protocols that do not support native encryption are protected via IPsec VPN tunnels. Depending on the document, a defined connection (interface) is established. A defined connection (interface) is established to the customer for each document to be transmitted (e.g. order) and then connected to the suppliers or vice versa.

Examples of successful practical use

With the flexibly selectable routing channels of FDI (EDI, web.EDI as well as PDF or XML by mail), document flows such as creation, dispatch and processing of order confirmations are continuously automated in practice. Similarly, complex orders of highly individual products defined by design data from a document management system (DMS) can be automatically executed. The communication of catalogue data as well as its translation into the customer system is also a practical example. Finally, the portal for incoming invoices and the portal for e-invoices provide all the prerequisites for the complete purchase-to-pay process.

One connection and four automation processes

The following diagram shows the basic structure of a document flow solution with 4-way connection via FDI. This mainly consists of the connection of the suppliers to the DIG Portal (in the graphic on the right side, the so-called routing): As already mentioned, these are EDI or DIG.edi, web.EDI (DIG.webedi) as well as PDF (DIG.easyconnect) or XML by mail (DIG.xml2edi).

Regardless of the selected channel, all documents on the DIG Portal are subject to the complete automation process:

  • Translate (for format-independent data communication)
  • Data reconciliation (the checking of defined parameters, also called clearing)
  • Data preparation (or preparing for the problem-free posting of the document in the target system)
  • Document flow management (either fully automatic transfer of document data to the target system or defined, manual clarification in the event of errors or inconsistencies in individual documents).
