DIG Sourcing makes all tenders in the company transparent and thus improves the controlling options with regard to profitability and the realization rate. As a result, pure price indications, for example, are less likely to end up as tenders in purchasing. The standardized information query and the automated workflow also contribute to a substantial reduction in the workload of the purchasing department.
All selected suppliers will receive an invitation to tender by e-mail. By clicking on the invitation link, they are forwarded directly to the tender submission.
There, the supplier can participate in the tender, offer individual items or decline to participate. With the latter option, the tender is closed for the supplier and the purchasing department is informed accordingly.
Depending on the invitation to tender or the specifications of the requester or the purchasing department, offers can also be submitted within individual tolerances that deviate from the invitation to tender (e.g. with regard to quantities or delivery dates).
The offers of the individual suppliers are displayed in a clear and structured manner. The view can be customized to display all relevant offer data at a glance . In addition, criteria can be defined in advance to identify the best offer. This reduces manual effort and frees up time for strategic tasks.
After the evaluation, the request can be completed with the following options:
- without best bidder
- Select one or more suppliers as the best bidder
- Export individual offers or items to the ERP system
- Cherry picking (offers are partially accepted)
- Post-process offer values
Once the inquiry has been completed, the respective quotation data is transmitted to the partner systems based on the best bidder and export markers set by the buyer. The suppliers can also be informed about the evaluation. The inquiry and its evaluation are retained in the system to ensure traceability and transparency .
The answer is a resounding yes! Documents in various file formats can also be automatically attached to a tender. DIG Sourcing has proven its worth in this context, particularly in the area of inquiries in mechanical engineering for drawing-based parts: Here, design drawings are automatically attached, which saves a considerable amount of time and ensures significantly higher process reliability compared to manual processing.
